Flowifier uses certain third-party and internal tools to process personal data for specific, clearly defined purposes. Below is a breakdown of these purposes and the services involved:
When you visit our website without registering or actively providing information, certain technical data is automatically collected by our web server. This includes your IP address, browser type, device ID, referring URL, and the date and time of your access. We process this data for the purpose of ensuring the functionality, security, and performance of our website. This processing is based on our legitimate interest in maintaining a stable and secure online presence. The data is stored for a limited time and automatically deleted unless required for the investigation of technical issues or security incidents.
We use Google Analytics 4 to monitor and analyze website traffic and platform usage patterns. This helps us understand how users interact with our content, improve site performance, and identify technical issues. Google Analytics may collect data such as your IP address, browser type, session duration, device information, and user navigation paths. All data is processed in an anonymized or pseudonymized format wherever possible. IP anonymization is enabled by default.

When you create an account or begin using the Flowifier platform, we process personal and organizational data you provide (such as your name, company name, email, and usage patterns) to deliver our services. Subscription billing is handled securely through Stripe, and payment details are processed directly through Stripe’s infrastructure. We do not store credit card numbers or banking information on our own servers.
Data Retention and Erasure
We retain personal data only for as long as necessary to fulfill the purposes for which it was collected, or as long as required to meet our legal, contractual, or regulatory obligations.
For customers who cancel their subscription, account-related data such as workflow content and form submissions will be retained for 30 days following the end of the subscription period. After this time, the data is permanently deleted unless legal obligations require extended retention.
Certain data, such as billing information, invoices, and communication history, may be retained for a period of up to seven years to comply with Austrian and EU tax and accounting regulations.
In cases where Flowifier needs to assert or defend against legal claims, we may retain relevant personal data for the duration of the applicable legal limitation period, in accordance with Austrian civil law.
Once data is no longer required for these purposes, it will be securely and irreversibly deleted.
Security Commitment
All processing is carried out through secure IT systems, applying industry-standard security measures. This includes encryption, access control, and regular monitoring. Our platform is hosted on ISO 27001-certified data centers located within the European Economic Area, including France, Germany, and Sweden. Personal data is only accessible to authorized employees or subprocessors under strict confidentiality obligations.
Flowifier further implements TLS encryption for all data in transit, role-based access control, and internal security reviews to safeguard access to personal data.
Additional Processing Activities
To ensure global performance and availability, Flowifier uses cloud-based infrastructure and content delivery systems provided by Microsoft Azure. These systems help us deliver the application more efficiently by routing data requests through geographically distributed servers.
Depending on the user’s location and device, traffic between your browser and our platform may be routed through Azure’s global edge nodes. This process may result in certain technical metadata (such as your IP address or browser type) being processed temporarily for performance and security reasons.

When users register or log in to Flowifier, we process the personal data provided to create and manage user accounts. This includes your name, email address, company name, and password (stored in hashed form). This data is required to deliver our services securely and provide access to the platform.

We may process user activity data (such as login frequency, feature usage, or navigation paths) to improve product design, support onboarding, and identify relevant updates. This processing supports platform improvement and customer success but does not include behavioral profiling or ad targeting.

Information About Data Transfers to Third Countries
Flowifier primarily stores and processes personal data within the European Economic Area (EEA). However, some of our service providers, such as HubSpot and AI service providers, may process data in countries outside the EEA, including the United States.
Whenever personal data is transferred to a third country, we ensure appropriate safeguards are in place to protect your data in accordance with GDPR requirements. This includes the use of Standard Contractual Clauses (SCCs) approved by the European Commission and, where applicable, supplementary measures based on transfer impact assessments.
We do not transfer your data outside the EEA unless it is necessary for service delivery, support, or system functionality, and always under strict data protection controls. In no case is your data sold or shared for marketing purposes without consent.

Integration of Third-Party Services and Content
Flowifier may embed content from external platforms, such as YouTube, to provide product tutorials, demos, or support materials directly on our website.
